A guest user can be added to a project when the project administrator does not currently have Internet access. Because Paratext usage is limited for guest users (What are the limitations of Paratext for guest users?), the administrator should make a guest user a registered user as soon as possible.

This topic presumes that the project administrator has added a guest user, that the guest user has made changes to the project, and that the guest user has done a Send/Receive of the project to a USB Drive. If you need help with adding a guest user, read the instructions in the expandable section below.

Add a guest user

On the computer of the project administrator, the administrator does the following:
  1. From the Project menu, select Users, Roles and Permissions.
  2. Click Add Guest User.
  3. To the far right of the guest user name, click Change Role... and select the guest user’s role.
  4. Click Book Permissions..., assign books and chapters to be edited by the guest user, and then click OK.
  5. Optionally: Click Other Permissions..., clear the check box for any part of the project where you want to prevent the guest user from making certain changes, and then click OK.
  6. To the right of the guest user name, click Copy to copy the Guest Registration Code.
  7. Save the Guest Registration Code to a file on a USB Drive that the guest user will keep.
  8. Click OK to close the Users, Roles and Permissions dialog.
  9. A reminder appears telling you that you must now do a Send/Receive; click OK.
    The Send/Receive Projects dialog appears.
  10. Send/Receive the project to the USB Drive that the guest user will keep.
On the computer of the guest user, the administrator does the following:
  1. Install and open Paratext.
  2. Select the User Interface language and click OK.
  3. In the Registration Information dialog, enter the details for the guest user, and then click OK.
  4. In the "Internet Settings" dialog, select Disable ALL Internet use, and then click OK.
  5. When a message about using Paratext as an unregistered guest user appears, click OK.
  6. Send/Receive the project to the USB Drive.
On the computer of the guest user, the guest user does the following:
  1. Makes changes in books assigned to him or her.
  2. Sends the project to the USB drive.
On the computer of the project administrator, the administrator does the following when he or she again has Internet access.
  1. From the Project menu, select Users, Roles and Permissions.
  2. Click Add User.
  3. Enter the name of the new team member.
  4. To the far right of the new team member's name, click Change Role... and select the role of the new team member.
  5. Click Book Permissions..., assign books and chapters to be edited by the guest user, and then click OK.
  6. Optionally: Click Other Permissions..., clear the check box for any part of the project where you want to prevent the guest user from making certain changes, and then click OK.
  7. Click OK to close the Users, Roles and Permissions dialog.
  8. A reminder appears telling you that you must now do a Send/Receive; click OK.
    The Send/Receive Projects dialog appears.
  9. Send/Receive the project to the Internet.
  10. On the Paratext Registry (https://registry.paratext.org), register the new team member.
  11. Copy the new team member's registration code.
  12. Send the registration code to the new team member by e-mail.
On the computer of the new team member, the new team member does the following when he or she has Internet access.
  1. Copy the registration code from the e-mail sent by the project administrator.
  2. Using the registration information for the new team member, do the following:
    • From the Tools menu, select Registration Information....
    • Enter Registration Name, Registration Code, Email Address, and Supporter Name, and then click OK.
    • Click OK in the message about changing to or from a guest user requiring that Paratext be restarted.
    • Restart Paratext.
  3. From the Project menu, select Delete Project. (You need to delete the project because the role of the new team member is incorrect).
  4. In the "Delete Project" dialog, click OK.
If a message reports that the project is accessible to other users and asks if you are sure you want to delete the project, click Yes.
If a message asks if you are sure you want to delete the project, click Yes.
  5. From the File menu, select Send/Receive, and Send/Receive the project to the Internet.
  6. Using the registration information for the guest user, follow the instructions in the bullets in step 2 above.
  7. When a message about using Paratext as an unregistered guest user appears, click OK.
  8. From the File menu, select Send/Receive, and Send/Receive the project to the USB drive.
  9. Using the registration information for the new team member, follow the instructions in the bullets in step 2 above.
  10. From the File menu, select Send/Receive, and Send/Receive the project to the Internet.
Any changes made by the guest user are on the Internet server.
In Project History, the guest user is listed as the one having made the changes.
